Job Title 1: System Administrator

Main Responsibilities:

  • Supporting the management on multiple activities across the life-cycle of the Purchase Order. This potentially includes raising Material Requisitions, Purchase Orders, Good Receipts and Service Entry reporting and issue resolution
  • The selected candidate(s) will also serve as SAP ‘Super Users’ within their respective work groups. In this capacity, he or she will serve as front-line support for SAP users, fielding and responding to questions around SAP MM Module
  • Candidates should have proven SAP implementation experience as user and need to have knowledge of the ‘procure to pay’ process stream including, Roles, and document Workflow 

Required Skills or Experience

  • Hold a University Degree in any field of study
  • Have familiarity with SAP Material Management (MM) module
  • Oil and Gas experience preferred
  • Excellent verbal and written communication skills
  • Ability to work independently when needed

Job Title 2: Buyer

The Buyer will take care of procurement of works, services and materials based on COMPANY guidelines and procedures and, in line with guidelines set out by the Management.

Key Activities:

  • Contract Award Process: to lead the contract award process and prepare all the necessary documentation under the supervision of the management;
  • To liaise with internal Clients, and Suppliers;
  • To respect the Company’s procedure

Main Responsibilities:

  • Contract Award
  • Receive the Material/Service Request (PR);
  • Analyse the requests and, accordingly, prepare the appropriate strategy, to be approved by the management, in order to meet the requirements, including:
  • Selection of suitable Bidders;
  • Selection of appropriate Contractual Standards
  • Issue to the bidder(s) the Tender documentation
  • Act as focal point for the receipt and management of their queries
  • Receive the Bidders proposals
  • Organise the opening committees for technical and commercial bid openings
  • Ensure, under the supervision of the management, that the requesting unit provides an adequate technical evaluation of the proposals, if and when applicable
  • Prepare the economic evaluation of the bid for the approval of the management
  • Negotiate under supervision of management (with the selected Supplier) prices, terms and conditions
  • Prepare the contract documentation and award recommendation for the approval of management
  • Ensure correct distribution of contracts to supplier and internal functions;
  • Ensure proper archiving and storage of all tender and contractual documentation

  • Support the Contract Managers during Contract execution;
  • Prepare the Contract revisions if and when applicable 

Required Skills or Experience

  • Strong academic background
  • Accredited University Degree in Engineering, Business Administration or similar

Job Title 3: Planning Control & Reporting Specialist

In order to adequately plan, monitor and control the activities of the Procurement Department, eni Ghana is looking for a young graduate to be dedicated to such activities, including all the necessary reporting. The activity shall be carried out in line with Company policy and procedures, indication of management.

Key Activities:
Planning of all the activities of the department (i.e. procurement plan, qualification plan);

  • Preparation and distribution of all necessary report for the management in order to proper control the activities;
  • Keep track of all the Purchase Requisition arriving to the Department
  • Support management, by preparing the relevant report, to allocate workload
  • Liaise with all the other departments of the company in order to prepare plan
  • Liaise with eni HQ, reporting all the necessary information
  • Prepare reports on local content activity
  • Prepare any specific report as requested

Main Responsibilities:
Procedural/standard framework of the procurement department:

  • Prepare and maintain updated the procedures of the department under the management supervision
  • Prepare and keep updated the standard documents of the department

Compliance of procurement processes:

  • Verify the compliance of the processes vs policies and procedures in line with the indication of Management

Support Contract Negotiation:

  • Support buyers in drafting contracts and other documents
  • Support buyers during negotiation

Interface with stakeholder of the procurement process as may be necessary:

  • Co-ordinate preparation of audits and manage the audits from other parties as necessary

Job Title 4: Procurement Secretary

Key Activities:

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
  • Arrange conferences and meetings
  • Complete forms in accordance with company procedures
  • Compose, type, and distribute meeting notes, routine correspondence, and reports
  • Greet visitors and callers, handle their enquiries, and direct them to the appropriate persons according to their needs
  • Locate and attach appropriate files to incoming correspondence requiring replies
  • Maintain scheduling and event calendars
  • Make copies of correspondence and other material
  • Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters
  • Schedule and confirm appointments for or supervisors
  • Maintain Office Files
  • Conduct searches to find needed information, using such sources as the Internet
  • Co-ordinate the flow of information both internally and with other organisations
  • Order and dispense supplies
  • Prepare and check mail office mail
  • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications

Job Title 5: Procurement Compliance Specialist

The Procurement Compliance Specialist will take care of Compliance, within the procurement department. Moreover, he will be requested to support the buyers in the negotiation of contract.

Key Activities:

  • Maintain and upate the procedural framework of the procurement department;
  • Monitor the compliance of the procurement process vs company policies and procedures;
  • Liaise with eni Headquarters and other departments, as may be requested
  • Support buyers in contract negotiation and in document drafting
  • Interface with internal/external function during Audits, as requested by management
