Duties and Responsibilities:
Under the general supervision of the FAO Sub-regional Co-ordinator for West Africa and the direct supervision of one or more officers as assigned, the incumbent provides responsible secretarial and programme support duties as follows.
- Collects, processes and summarises data and other relevant background information on the countries and on the sub-region as a whole for briefing and review by the requester and use of SFW;
- Maintains, logs, files and databases, and updates records in prescribed format for subsequent use covering the different technical and administrative areas relevant for SFW (focal point for the unit’s secretarial)
- Assists in the preparation/consolidation of the unit’s travel plan, work plan and budget including periodic budgetary reports and income processing;
- Assists in the logistics of the professional officers’ missions, the preparation, approval and monitoring of Letters of Agreement, and the initiation and follow-up on expert/consultant contracts
- Organizes meetings/workshops held within the sub-region (i.e. preparation of budgets, co-ordinating travel and accommodation of participants, paying DSA, compilation of related presentations; recruitment of appropriate personnel and organization of secretariat; and other related logistics)
- Translates correspondence and documents from French to English and vice-versa;
- Participates in internal meetings to provide information on administrative matters, take notes and prepare respective minutes;
- Supervises and co-ordinates the work of the other Secretary/Programme Clerks (G4) ensuring that all the Unit offices are properly assisted;
- Performs other duties as required
Required Skills or Experience
Applications are normally not considered from candidates who do not possess ALL of the Essential Qualifications:
- Senior Secondary School Education including or supplemented by secretarial/clerical training
- Five years of office experience, including secretarial and clerical/programme work and experience in record keeping and processing information and at least 1 year at G-4 level
- Language: Working Knowledge (level C) of English and French
Other:
- The incumbent must possess typing skills and short hand in languages required in line with the organization’s requirement, computer literacy and ability to use word processing, excel and other office technology equipment; ability to use the organization;s computerised financial and administrative systems; attention to detail and the ability to carry out complex assignments; initiative, courtesy and ability to work harmoniously with people of different national and cultural backgrounds
Desirable Qualifications:
- Work experience: in an International organisation and preparing sub-regional/regional meetings
