The Forum for Agricultural Research in Africa (FARA) is an umbrella organization bringing together and forming coalitions of major stakeholders in agricultural research and development in Africa. FARA complements the innovative activities of national, international and sub-regional research institutions to deliver more responsive and effective services to its stakeholders. It plays advocacy and coordination roles for agricultural research for development, while the national agricultural research systems (NARS), advanced research institutions (ARIs) and international agricultural research centres (IARCs) develop and promote the adoption of improved technologies and policies along the research-to-development continuum in their respective countries and jurisdictions. FARA became operational in Ghana since 2002.

As part of efficient operational and logistical support to its programmes and partners FARA has a conference and logistics function that coordinates and provides logistical support for its meetings and conferences.

Job Description

Job Title: Conference And Logistics Assistant

Job Summary

The FARA Secretariat is seeking to fill a vacancy for a Conference and Logistics Assistant to assist with the coordination of conference services, workshops and travel logistics for its secretariat and partners.

Responsibilities

S/he reports directly to the Conference and Logistics Officer and will perform among others the following duties:

  • Ensure timely preparation of Travel Authorization forms
  • Makes ticket reservations at reasonably negotiated rates & ensures timely issuance of tickets as necessary at the most economical rate, using the most direct route to/from the destination and ensures that all travel payment requests are prepared and authorized.
  • Plans and organizes to ensure that the necessary hotel accommodations are made for all FARA organized events and all participants are given up-to-date logistics information on the conference/meeting plans.
  • Works closely with the conference & Logistics Officer as well as the FARA Administrative Assistants to establish a standard list of conference/meeting needs e.g. stationery and other logistical support as necessary
  • Performs any other duties that may be assigned from time to time by Supervisor

Required Skills or Experience

  • BSc degree in Public Administration, Marketing, Finance, Commerce, Economics, Business Administration or related field and or Professional qualifications in travel services, such as Certificate in Amadeus Training Platform, Diploma in IATA Travel and Tourism is a must.
  • Not less than two (2) years relevant experience in a related role.
  • S/he must be able to issue tickets and possess knowledge of preparing travel per-diems using the UN system.
  • S/he must be able to plan and coordinate conferences.
  • The individual must also possess strong people management and organisational skills.
