Job Description

Job Title: Programme Operations Officer

Overview

Main Role / Purpose

To ensure that visiting trips are properly planned and executed to the highest quality and to build and maintain excellent relationships with clients.

 

You will need to be well organized and have excellent attention to detail. You need to be a good communicator and have the ability to effectively execute the tasks allocated to you in a timely and efficient manner whilst supporting other team members to also help deliver quality services. Partner Schools Worldwide is a small business, as part of a small team you will have input in some aspects of the business and you will be required to perform other tasks as needed.

Main Responsibilities

Administration

  • Ensure online systems are correctly populated with accurate data
  • Produce trip manuals in timely and accurate fashion
  • Play an active role in the development of travel programs, services, and sales.
  • Ensure contacts database of suppliers is accurately maintained & establish new contacts as necessary
  • Support engagement of stakeholders through Facebook, Twitter, and other appropriate media channels by supplying photos, video, and content.

Kit

Advertisement
  • Maintain equipment and storage facility to high standard

  • Ensure there is enough kit for the trips at any given time.
  • Maintain proper record systems for kit availability, usage, return, cleaning and reporting of damaged kit
  • Ensure other staffs are trained in the use of the kit and it’s maintenance.

Trip Planning & Preparation

  • Visit hotels & camping sites to conduct safety audits on quality & suitability.
  • Booking of campsites & accommodation, transportation, and activities as per itinerary
  • Ensure correct information is provided at all times
  • Ensure staff training for guides and cooks is executed in a timely fashion.

Trips

  • Support the logistics and delivery of trip services
  • Act as tour leader/guide as necessary
  • Collect, evaluate, and respond (as appropriate) to customer feedback>
  • Support group trips through calls, coordination, and correspondence.

Volunteers / Interns

  • Coordinate travel and accommodation for volunteers
  • Provide in-country induction.

Skills Required

  • Knowledge of key cultural sites & holiday destinations
  • Excellent organizational skills and attention to detail
  • Excellent communications, interpersonal, and customer service skills
  • Strong team player, with ability to work on own initiative
  • Ability to work independently and prioritize workload
  • Experience with working with groups of young people
  • IT skills and knowledge of Microsoft Office or Open Office
  • Education/NGO experience preferred

Other Requirements

  • Minimum 1st Degree in Tourism or Hospitality from recognized institution
  • Minimum of 2 years practical experience of Tourism

Performance Review

A six-month performance review will be carried out by the Managing Director, this will assess performance against the personal targets and objectives agreed for that period. Other areas of consideration will be personal development and training requirements, and the setting of targets for the subsequent reporting period.

Compensation and benefits

  • Gross annual salary will include income tax and social security deductions.
  • Annual leave entitlement, and special leave (maternity, bereavement etc) as provided for by the Ghanaian Labour Law.
  • Travel expenses relating to the role will be covered by the company.
