TRIAS Ghana is a branch of TRIAS Belgium, an international NGO headquarters in Brussels, that works to improve-the Livelihood security of small entrepreneurs and small scale farmers in developing countries especially in Africa and Latin America. Since 2008, the Regional Office of Trias, Ghana has been implementing a three-year programme in partnership with 12 Rural and community Banks (RCBs) in the three Northern Regions of Ghana aimed at increasing the access of their target groups to adequate appropriate and quality micro-financial services in a sustainable way. From 2011 to 2013, Trais Ghana intends to expand the scope of the programme to include the organisational and institutional strengthening of some Member based Organisations (MBOs)

Job Description:

TRIAS Ghana requires the services of a talented energetic and dynamic person to take up a challenging job as its Finance and Administrative Officer (FAO) at the beginning of January 2011 at its Regional Office (RO) in Bolgatanga in the Upper East Region of Ghana

The FAO is a key member of the Trais Ghana Team, handling all the financial and administrative issues of the Regional Office (RO) with the support from Trias Head Office and reporting directly to the Regional Co-ordinator (RC)

The successful applicant will be required to undertake the following duties and responsibilities:

Financial Functions:

  • Re-organise the financial and administrative management procedures of the RO in line with TRAIS’ policy guidelines
  • Maintain up to date and accurate accounting records of the Regional Office (RO) of Trais Ghana
  • Ensure accurate and timely preparation and submission of semestrial and annual financial reports with receipts and invoices to HO on approval of the RC
  • Make timely request for funds from TRAIS Headquarters in Brussels on behalf of the RO and partners in consultation with the Regional Co-ordinator (RC)
  • Prepare and monitor cash flows and budgets of the RO and partners and ensure timely and efficient use of Trias Ghana financial resources
  • Undertake financial disbursements to the partners in line with their operational plans in consultation with the RC
  • Pay pre-planned regular monitoring and supervision visions to partners to ensure compliance with Trais regulations with respect to the use of funds
  • Reinforce the partners capacities to enable them do accurate and timely financial reporting through training of their accounting and management staff on the financial regulations and reporting procedures of TRIAS
  • Maintain and update an assets register for the Regional Office
  • Design procurements and purchase procedures for the RO and partners in line with TRAIS financial guidelines and in consultation with the RC
  • Perform any other responsibilities as may be determined by the Regional Co-ordinator

Administrative Functions:

  • Prepare and arrange staff meetings in consultation with Regional Co-ordinator and keep accurate minutes of such meetings
  • Organise and manage office records and filing systems
  • Prepare receptions and courtesies for visitors
  • Any other administrative assignments as instructed by the RC

Salary and Conditions: Attractive but in accordance with the HRM policy of TRIAS Ghana

Period: Three years contract after probation period of 6 months (inclusive)

Required skills or Job experience:

Academic and Work Experience:

  • Applicants must be holders of a university degree or HND in accounting with a minimum of three years relevant experience
  • Should be persons with the requisite financial knowledge, experience and capacities to start-up a double and analytical book-keeping for the RO
  • Should be able to coach partners on financial requirements and reporting guidelines and procedures of TRIAS
  • Able to work independently and efficiently with minimum supervision
  • Be a computer literate well versed in micro-soft windows programmes and with strong practical knowledge and experience in the use of accounting soft-wares packages
  • Experience in preparation of donor financial reports would be an added advantage
  • Have good interpersonal relations and able to work and relate well in a multicultural working environment
  • Females are especially encouraged to apply

  • Should be a well organised and disciplined person able to work independently under pressure and with minimum supervision
  • Should be a team player and a good communicator
  • Person of proven integrity
  • Hardworking and willing to work extra hours when the need arises
