Tullow Oil plc is a multinational oil and gas exploration company founded in Tullow, Ireland with its headquarters in London, United Kingdom.

It has interests in over 150 licenses across 25 countries with 67 producing fields and in 2012 produced on average 79,200 barrels of oil equivalent per day. Its largest activities are in Africa and the Atlantic Margins, where it has discovered new oil provinces in Ghana, Uganda, Kenya and French Guiana.

Tullow’s main production comes from six countries in Africa as well as the Southern North Sea and Asia. Ghana’s offshore Jubilee oil field which was discovered in 2007 and started production in December 2010 is Tullow’s largest discovery.

As at 31 December 2012 Tullow had total group reserves and resources of 1.2 billion barrels of oil equivalent including commercial reserves of 388 million barrels of oil equivalent. Tullow’s 2012 exploration and appraisal drilling success rate was 74% around double the industry average;this success has been ascribed to its drilling in geological formations similar to those in which oil has been discovered at other locations. For example, a formation off the coast of South America which is similar to formations in West Africa.

Position Description

Job Title: HR Services Coordinator
Function: Human Resources
Reports To: Reward & HR Services Manager
Job Purpose: Responsible for providing efficient administrative support to the global HR team and all managers/employees,  ensuring high levels of customer satisfaction through the provision of a responsive, timely and proactive service. 

 

Apply HR processes consistently and maintain accurate and reliable data, which is used across the business and by other systems.

Responsibilities / Key Objectives: Provide HR Administrative support to manage queries/requests from internal and external customers with the aim of resolving queries at first point of contact or within the agreed Service Partnership Agreement (SPA).

Maintain and manage data held within HR systems including accurate data entry into the HR database & other systems.

Responsible for document management of all letters, offers & contracts and other documents produced by or received by HR Services.

Prepare documents as required, using pre-agreed templates.

Ensure all salary increase letters and bonus letters are stored for safe keeping.

Arrange relocation support where required.

Coordinate training activity.

Ensure training records are up to date.

Provide standard HR reporting to the HR team as well as managers and employees as required.

Update employee handbook, and all impacted documentation in accordance with governance process.

Co-ordinate local and international recruitment administration activity in support of the Recruitment team, reporting on recruitment activity and managing interview logistics.

Investigate relocation requirements and costs where required.

Initiate and coordinate work permit applications, pre-employment medicals etc.

Record CV’s on Applicant Tracking System.

Responsibilities / Key Objectives: Liaise with PSL agencies to give updates and arrange interviews.

Raise SAP purchase orders when required.

Collate/Coordinate and/or update HR content on the Intranet.

Participate in HR projects where needed.

Participate in peer group meetings.

Work proactively with colleagues across the HR function to ensure an integrated approach to HR service delivery.

Ensure all HR policies, procedures and processes are followed consistently

Maintain templates and standard letters ensuring they are up to date and in line with current employment legislation/ regulations.

Use the agreed call logging, workflow and management. systems to escalate issues and incidents as appropriate.

Manage customer relationships and achieve customer satisfaction.

Resolve queries in a timely and appropriate manner, maintaining good customer relationships and high levels of service.

Contribute towards identification of continuous ongoing improvement of HR Services delivery.

Perform in line with the Company values.

Participate in cross training to maximise the contribution to the overall HR service and build personal experience and knowledge.

Person Specification

Education: HR Diploma or relevant Certification 
Skills: Experience of working in a HR team highly desirable.

Experience of working in a customer-focused environment required.

Excellent written, oral and aural communication skills.

Highly proficient MS Office skills, specifically Word, Excel and PowerPoint.

Able to manage high volume of activity.

Able to present information clearly, concisely and in accordance with company branding
