Innovation for Poverty Action (IPA) Ghana is part of a larger US based non-profit (501©(3)) organization founded in 2003 by Dean Karlan, with the goal of serving as the link between academic research and real world problems faced by the poor in developing countries.

IPA creates and evaluates approaches to solving development problems and works to scale up successful projects through implementation and dissemination of policymakers, practitioners, investors and donors around the world, to determine the cost effectiveness of poverty alleviation programs, using the most rigorous evaluation techniques. With 280 currently ongoing projects in 42 countries in Africa, Asia, and North and South America, IPA’s projects span a variety of fields, including microfinance, transfers, education, health, agriculture, corruption, charitable giving, political participation and social capital.

IPA is a registered NGO, in Ghana with 16 on-going projects, 40 international and local staff and permanent offices in Tamale and Accra.

Job Description

Innovations for Poverty Action Ghana is a locally registered non-governmental organization focused on conducting rigorous research to learn what works and does not work in development.

Located in Tamale since 2009, IPA Ghana is looking for a Tamale Office Manager to manage an office with 20 full time staff members and a varying number of short term staff.

Roles and Responsibilities:
The Office Manager will liaise with visitors, field outside questions and requests, and receive and route all phone calls.

The Office Manager will work with IPA Ghana’s Operation Manager and Deputy Country Director to supervise procurement and manage resource and logistics for IPA operations in northern Ghana.

In addition, the Office Manager will be responsible for working with the Tamale Accounts Assistant, IPA Accountant and Deputy Country Director to manage IPA Tamale finances.

The Office Manager will also take a lead in staff orientation, creating a healthy work culture and managing the administrative components of the office overall.

Office Management and Reception Tasks include:

  • Reception and Scheduling – answer the phone, greet visitors
  • Daily Operations and Procurement – keep track of project movements and staff,  assist with other operational issues that arise, manage office security, arrange vehicle usage, buy supplies for office/projects and pay utilities and repeat payments
  • Arrange travel logistics for new staff and visitors
  • Assist in the supervision of IPA Tamale drivers and vehicles. Manage IPA assets and inventory.

Human Resource Tasks include:

  • Provide current and prospective employees with information about policies, job duties, working conditions, wages, employee benefits and opportunities for promotion
  • Assist with new employee orientation and staff conferences planning
  • Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping resolve work-related problems
  • Help Management with selection of candidates for recruitment
  • Finance Tasks
  • Work with Accounts Assistant to prepare Cash book of monthly all office expenses
  • Prepare a monthly administrative budget for the office
  • Prepare monthly consolidated Office Budget
  • Write checks and oversee check reconciliations
  • Lodge cash weekly at the bank
  • Manage petty cash

Computer skills necessary include: thorough knowledge of Microsoft Word, Excel, Internet/Email.

 

Required Skills or Experience

  • The position requires three years experience in an administrative role, which includes experience managing petty cash, resource management and office management.
  • Excellent English skills, a high level of computer literacy, fast and accurate typing skills, and strong people skills are required.
  • Experience with non-governmental organizations and international staff in Ghana is preferred
