Job Description

Job Title: HR Associate

  • IPA Ghana seeks a Human Resource Associate to provide in-country support in the implementation and administration of Human Resource policies and procedures in the Ghana country office. The Human Resource Associate will report to the Operations Coordinator and will be oversee activities related to recruitment, onboarding, off-boarding, employment contract renewals, performance evaluation, work permits, replicon administration, HR database management and benefit administration.

Position Summary

The Human Resource Associate will perform the following responsibilities:

  • Support the recruitment of both long- and short-term staff;
  • File all recruitment documents for all long-term staff recruitment;
  • Prepare and review both short-term and long-term staff contracts;
  • Manage and file contracts for all staff;
  • Coordinate the onboarding of all long-term staff;
  • Coordinate probationary reviews, annual performance reviews, and annual performance planning for long-term staff;
  • Manage the HR database;
  • Manage the filing of all employee records;
  • Track employee contracts and contact information, and coordinate contract renewals;
  • Oversee initiatives related to staff morale and well-being;
  • Manage the enrollment and renewal of all insurance policies including health, emergency,
  • Workmen’s compensations and others;
  • Provide indirect supervision to the Tamale Office Manager on HR matters;
  • Coordinate work permit applications, extensions of stay and non-citizen card applications for expatriate staff;
  • Work with the Operations Manager/Coordinator and Deputy Country Director to create and continuously improve HR systems;
  • Update and communicate HR policies and procedures for the Accra and Tamale offices;
  • Administer the Replicon timesheet system for local staff;
  • Support the organization of staff retreats;
  • Perform other HR tasks;

Required Skills or Experience

  • A Bachelor’s degree in Human Resource management, Business Administration or related field. A Master’s degree is an added advantage;
  • At least two years of working experience in a similar position, in relation to administering HR procedures, work permit processing and employee benefits is highly referred;
  • Effective oral and written communication skills;
  • General knowledge of the Ghana labour laws;
  • Able to exhibit high level of confidentiality;
  • Strong computer skills including proficiency in MS Word and Excel;
  • Attention to detail;
  • Excellent problem solving and analytical skills;
  • Curiosity and willingness to learn;
  • Outstanding interpersonal skills and ability to work effectively in a diverse team;
  • Demonstrated ability to prioritize tasks, work under pressure and meet deadlines, often with limited supervision;
  • Excellent management, communication and organizational skills, and ability to work independently;
  • Experience performing a similar role in an international NGO is a plus
