Job Description

Job Title: Administrative Assistant

Job Summary

The University invites application for the position of Administrative Assistant. This advert supersedes any earlier adverts. The main purpose of this position is to assist the Dean of the Faculty in the day-to-day administration of the faculty, including ensuring that the lifecycle of a student is carried out operationally. The Administrative Assistant will be the first point of contact for most faculty enquiries. The Administrative Assistant reports to the Dean of the Faculty.  The incumbent will be expected to:

  • Assist the Dean or Head of Department in capturing student records.
  • Prepare internal and external correspondence and maintain such correspondence.
  • Handle problems related to student academic activities.
  • Assist in the day-to-day running of the Faculty or Department.
  • Maintain student records.
  • Act as custodian of the current students’ academic record.
  • Source all documentation pertaining to the lifecycle of the student.
  • Plan and oversee the logistics related to examinations and graduations for the faculty.
  • Act as a link between the students in the faculty and faculty’s management on academic matters.
  • Undertake any other work as may be assigned by the Dean or Head of Department.



    First Degree from a recognised institution in administration, business or a related discipline

Work Experience

  • One (1) year of experience in general office and administrative support or secretarial duties, preferably in a department or faculty within a higher education setting.
  • Proven ability to organise meetings and events.
  • One year using MS Word, MS Excel, MS PowerPoint, and MS Outlook in an office setting.

IT Skills

  • Computer literacy and the ability to effectively use standard office software tools and other office technology to create documentation, exchange and archive records, and maintain electronic filing systems.
  • One year using MS Word, MS Excel, MS PowerPoint, and MS Outlook in an office setting.


  • Good knowledge of academic regulations.
  • Good knowledge of university policies and procedures and curriculum development.
  • Student administration experience
  • Archives and Record Management
  • Excellent verbal, reading, and written communication skills,
  • Excellent wordprocessing skills
