Position Overview
MBC Africa is currently seeking an exceptional individual to join our team as a Receptionist and Administrative Intern for a period of 6 months.
Job Description
Position Title: Receptionist/Admin Intern
Reporting to: Operations Director
Location: Fourth Street, East Legon, Accra
Working Hours: 8am – 5pm (Monday – Friday, occasionally overtime and work on weekends will be required)
Start Date: 1st August 2017
End Date: 31st december 2017
The Receptionist/Admin Intern will be responsible for the overall front office activities, including managing the reception area, organizing booking of meeting rooms, handling general office purchasing requests and overseeing facilities management of the office.
This individual will organize office communication and activities on a day-to-day basis.
This individual’s primary responsibilities include handling incoming calls and welcoming visitors, handling queries while maintaining office common areas, and facilitating meetings.
The ideal candidate should have an interest in business (agribusiness) and entrepreneurship. Other responsibilities within the company will be added to this position with continued experience and growth.
The successful candidate must be reliable, punctual, organized, and demonstrate the ability to juggle multiple priorities in a very busy office.
Excellent interpersonal and communication skills, pleasant phone manner, typing ability and familiarity with MS Word, Excel and PowerPoint applications are required.
Responsibilities
To achieve the desired results, the receptionist/administrative Intern will be expected to do the following:
Provide Front desk reception duties for the office which includes handling of phone calls and managing internal & external customers in a timely and
professional way
Receive and greet all visitors in a professional and warm manner
Collect and distribute all incoming mail and office items
Develop and maintain a tracking system on all incoming & outgoing mails
Assist in general office administration.
Assist in the coordination of ad-hoc company functions/events
Assist in any ad-hoc duties, projects and activities as and when required
Required Experience and Skills
Fluent in written and verbal English communication
Exceptional communication and organizational skills and attention to detail, particularly in the preparation of documents such as minutes.
Strong research, analytical, and troubleshooting skills
Flexible and creative mindset coupled with a persistence to achieve results
Ability to work independently as well as part of a team and be held accountable for assigned work deliverables
Excellent interpersonal communication and rapport-building skills
High degree of professionalism
Computer literacy, including Microsoft Word, Excel, and PowerPoint
Desirable Qualifications and Skills
A graduate with excellent communication skills.
French speaker /knowledge of French is desirable but not essential.
Min 1-2 year’s relevant experience.
Possess good professional image, excellent phone mannerism and enthusiasm in customer service.
Significant work or volunteer experience in administration, communications/marketing, or a related field.
Proactive and highly resourceful with great organization skills
Proficient in MS Word, Excel and PowerPoint applications is highly preferred.
Compensation
After a pre-determined period of 6 to 8 weeks, interns will be eligible to receive allowance to cover lunch and travel (T&T) based on satisfactory performance.
Work related expenses such as local travel for official duties will be covered by MBC Africa.
This position is open to all persons legally qualified to work in Ghana.
