Job Description

Job Title:  Document Controller (Marine Works)

Job Summary

The Document Controller is responsible for the implementation of project-specific procedures for the storage, retrieval, management and tracking of company documents.

Duties and Responsibilities:

  • Implementation of project-specific procedures for storing, managing, retrieving and tracking company documents.
  • Implementation of project-specific procedures for adhering to the project’s document lifecycle procedures including the archiving of records in accordance with the records retention schedule.
  • Controlling the retrieval of documents by authorised users.
  • Developing and maintaining registers and logs [such as Correspondence registers] for incoming and outgoing documents.
  • Adhering to document management procedures, policies and systems.
  • Supporting the staff of other departments in the implementation of document workflows and templates.
  • Assisting with quality audits by internal and external auditors
  • Performing document management tasks as needed.
  • Scan and upload documents where required

Minimum Requirements

Experience:

  • Minimum 5 years of experience in document control department.
  • Minimum 5 years of experience in the employ of an engineering consulting firm or construction contractor.

Specific skills required:

  • Ability to prioritize, manages time well, multitask and troubleshoot.
  • Strong interpersonal, communication and customer service skills.
  • Experience with document control / database management software.
  • Ability to build effective working relationships with colleagues and external stakeholders.

Personality Attributes:

  • Focused on client delivery – attention to detail and quality with a capacity to work under pressure and meet deadlines.
  • Strong interpersonal, communication and customer service skills.
  • Attention to detail.
  • Work as part of a Team.
  • Ability to work accurately under pressure to meet project targets.

Additional Comments:

  • Eligibility to work in Ghana due to nationality is a requirement.
