Job Description

Job Title: Executive Assistant

PURPOSE:

  • This position is responsible for providing administrative duties for a Regional Senior Vice President.
  • This role will assist with general administrative support tasks, various projects, tasks and support the planning and execution of travel, meetings, and reports.
  • This position may also train and supervise lower-level clerical staff.

ESSENTIAL DUTIES:

  • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing functions such as preparing correspondence, receiving visitors, arranging conference calls, meeting minutes and scheduling meetings.
  • Liaise with Executives, direct reports and vendors.
  • Coordinate and arrange internal and external meetings for the executive and prepare materials and items accordingly.
  • Prepare presentations and reports for meetings, which may include setup of A/V equipment.
  • Handle confidential and time sensitive material with tact and discretion.
  • Ability to assist with international travel arrangements, trip files, and readiness (mobile technology, passport, visas).
  • Plan, schedule, and handle logistics for company-related functions
  • Complete expense reports for executive.
  • Generate requests for payment and code and enter data.
  • Responsible for file management for the executive and department at executives discretion.
  • Receive and review all mail and screen phone calls, determining what needs to be brought to the attention of the executive.
  • Perform copying, collating, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.
  • Complex project coordination and assignments as requested.
  • Assistance with personal business for executive.
  • Prepares presentation materials for regional leadership meetings or other high visibility functions as required.
  • Become familiar with and strictly adhere to Newmont’s Health, Safety and Environmental standards. Act as a role model in complying with and supporting these standards and practices.

WORKING CONDITIONS:

  • The position is located in the regional office – Accra.
  • Extended and unpredictable hours.

TRAINING AND EXPERIENCE:

Knowledge:

  • Associates degree in Business or related field, or a combination of certificates and work experience as an executive assistant is required.

Experience:

  • Minimum 10 years executive/administrative assistant experience or equivalent combination of training and experience are necessary.
  • A minimum of 3-5 years working for a top level executive.
  • Previous experience working for a Fortune 500 company is a plus.

Skills and Abilities:

  • Excellent written and verbal communication skills.
  • High proficiency in the use of Microsoft applications required, including Outlook, PowerPoint, Word and Excel is required.
  • Advanced knowledge of office equipment and advanced computer skills
  • Ability to work independently, exercising initiative, discretion and judgment and make appropriate decisions within the scope of assigned responsibility.
  • Ability to work under tight deadlines and manage multiple projects.
  • Must be tactful and professional.
  • Handles details of a highly confidential and critical nature
  • Experience in working with senior level executives within and outside the company, as well as experience with customers, visitors, vendors and other dignitaries.
  • Prioritization skills and competent follow through skills.
  • Requires in-depth knowledge of company operations, policies, and procedures.
  • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
  • Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
