An administrator is a person responsible for managing things and running the show.
Administrators are often found directing government agencies, organizing institutions, or leading school departments. They’re the decision makers and the planners, the people who put in place or administer the rules and guidelines. In other words, the administrator’s office is probably the last place you want to end up if you’re in trouble.

Job Description

Job Title: Receptionist/ Administrator

Education: HND in Hospitality Tourism Management

Experience: 2-5 years in administrative work.

Job Summary:

To act as the first point of contact for visitors and callers to Alert and to undertake a range of other administrative tasks as identified by the organization.

To provide an effective and efficient administrative support service to all staff within the organization and be responsible for the day-to-day
efficient running of the reception.

Duties.

1. Open the offices in the morning and lock the front door in the evening.
2. Ensure that the front and rear entrances of the building are clean.
3. Switch on all lights and check the cleanliness of the interior, making a record of any poor levels of cleanliness or any maintenance issues and take necessary steps/action to remedy.
4. Ensure that the fridges are well stocked with milk, sugar, tea and coffee.
5. Ensure all toilets are well stocked with toilet paper, hand towels, linen roller towels and hand soap.

Other Duties

Answer the office telephone and be the first point of contact for the business, including welcoming visitors and providing hospitality

General housekeeping including; managing meeting room bookings, ensuring meeting rooms/communal areas are clean and tidy and available for visitors, and managing stock control of stationery and general office supplies

Opening and distributing the incoming post, and despatching all outgoing post

Maintaining and filing electronic and paper files. Conducting spot-checks on the drawings’ registers

Basic IT/telephony responsibilities, including backing-up the server

Maintaining holiday and sickness records and data entry on company staff resource management software

Basic data entry of invoices, expenses etc. on to the QuickBooks accounting software (training available)

Attend team meetings and produce minutes/summary of action points

Providing general office administrative support t; including photocopying, scanning, forwarding correspondence and filing as required

Assisting in PR and marketing activities

Work flexible hours, including weekends and holidays

QUALIFICATIONS AND ABILITIES:

Strong organizational skills, ability to prioritize and multi-task

Minimum 2 years Receptionist/Office Administrator experience

Exceptional customer-service skills and effective communication both verbal and written

Ability to work with minimal supervision

Experience with MS Word, MS Excel and Outlook, must be comfortable working with spreadsheets

Exposure to accounting is an asset, aptitude and passion for working with numbers a must
