Job Description

Job Title: Administrative Assistant

Key Duties & Responsibilities:

  • Prepare, edit, proofread and distribute outgoing correspondence, invoices and reports from both handwritten and electronic copies for major projects in progress.
  • Ensure the supply of office stationary and meeting room supplies is maintained at all times and order additional supplies when necessary.
  • Respond to email and telephone queries and direct clients to the appropriate individual as required. Relay messages on behalf of senior managerial staff.
  • Create and maintain electronic and paper filing systems for correspondence, invoices, timesheets and other communications both incoming and outgoing.
  • Propose and implement improvements to office procedures and processes to maintain the efficiency and high performance of the Project Administrative Assistant role.
  • Welcome guests and clients and guide to appropriate meetings offering assistance, directions and advice where needed
  • Prepare and distribute agendas, notes, power point slides and other material needed prior to meetings, record, type up and distribute meeting minutes.
  • Organize and secure travel bookings for senior management, company employees, visitors and clients on a regular basis.
  • Assemble data and statistical information when requested for research and informational purposes for senior management.
  • Responsible for partaking in training courses for new systems and implementing and passing on training to other department staff members Cover, support and manage other Assistant’s roles during their vacation and sick days.

Essential Requirements and Skills:

  • Minimum of 3 to 5 years’ experience working in an office environment, supplemented by an administrative experience or related course.
  • OND/HND/Bachelors or related academic/professional qualification
  • Average computer skills; fluency using Microsoft Word, Outlook and Excel is a must.
  • Detail oriented, highly efficient and organized, fast learner.
  • Capable of meeting deadlines and managing high volume of Project Manager and senior staff requests.
  • Strong written and oral communication skills.
  • Must be flexible in relation to handling work requirements.
  • Previous work experience in a related environment would be an asset.
  • Knowledge of office management systems and procedures.
  • Excellent interpersonal skills and ability to work in a team-oriented, fast-paced working environment.
  • Excellent customer service focus, with an ability to work collaboratively with others
  • Applicants with +5yrs work experience on related field without formal qualification can be considered
