Job Purpose:
Under the general supervision of the Chief, Education, performs a variety of information gathering, monitoring, technical and administrative services of moderate scope and difficulty, in support of programme activities.
Main Duties and Responsibilities:
- Collects information mainly from manuals, intranet/Internet, records and other source documents. Prepares periodic and ad-hoc reports on programme and project activities. Assists Programme Officers in compiling financial information relating to their projects and in the preparation of background material, working papers and tables for briefings and periodic project reviews
- Generates periodic and special reports in VISION, reviews the reports to ensure that charges are properly recorded, investigates discrepancies and initiates corrective action. Monitors financial status of various projects and recommend timely reallocation of funds
- Generates and reviews monthly status reports on Cash Advances to the Governments and NGOs and ensure timely follow-up of outstanding liquidations. Assists in the monitoring and preparation of reports and publications on the results and publications on the results of programme interventions
- Researchers, reviews and synthesise information for the preparation of reports, project documents and submissions to governments. Prepares background information for use in discussions with governments and other organisations. Participates in the briefing and debriefing of project personnel. Records and update Annual Project Workplans (APW) and Annual Project Assessment Table (APAT)
- Assist Programme Officers in organising programme reviews with counterparts. Prepares for workshops and meetings, including provision of logistics
- Scrutinises plans of operations, exchanges of letters and takes appropriate follow-up action. Assists in the administrative process of government requests for assistance
- Draft responses to routine programme correspondence and provide administrative support to the section. May be required to carry out specific administrative operational/control tasks for project/programme activities
- Perform other duties, as required
Required Skills or Experience
Minimum Requirements:
Education:
- Completion of secondary education, preferably supplemented by technical or university courses in Programme Management and Budget Control
Work Experience:
- Six years of progressively responsible clerical or administrative work, of which at least one year is closely related to support of programme activities
Language Proficiency:
- Fluency in English required. Another UN language is an asset
