Job Description

Job Title: Administrative Assistant – Program Support

URC and the USAID funded Ghana Systems for Health Project is recruiting a Administrative Assistant – Program Support to be part of the project’s team.

  • Length of Contract: 1 Year, renewable
  • Reports To:  Director of Operations
  • Location: Accra

Job Summary

The Administrative Assistant for Program Support will work under the direction of the Director of Operations to support coordination and implementation of project activities.

Roles and Responsibilities

Trainings/Workshops

  • Work closely with the S4H technical teams in ensuring that the logistics for meetings, trainings, events and workshops are in place.
  • Prepare invitations for trainings and workshops and follow-up with participants as needed
  • Support preparation of materials and logistics for outside trainings, workshops, and special events.
  • Develop checklist for required training materials and equipment with technical lead and prepare corresponding requests.
  • Ensure training teams have required materials and equipment packed prior to training and returned to stores/inventory following the training.
  • Prepare and distribute per diem, facilitation allowances and transportation payments to training participants and organize required supporting documentation
  • Manage logistics for meetings and workshops held at the S4H offices, including organization of lunch/tea, preparation of the meeting space/equipment, welcome for participants, and materials preparation.

Program Support

  • Maintain electronic and paper files of program communications, materials, and site specific documents.
  • Make hotel arrangement/bookings for staff on local field travel. This includes obtaining requests from staff and preparing and issuing booking letters to various hotels.
  • Review/verify all invoices from various hotels and reconcile them to the booking letters prior to submission to finance for payment.
  • Follow up to ensure that all credit arrangements/agreements with various hotels are valid and that rates being charged are consistent with agreed upon rates.
  •  Any other related duties as assigned by supervisor and other senior staff.

Required Skills or Experience

Advertisement
  • A Bachelor’s degree in business administration, or similar field, is required.
  • Minimum of 2 years’ experience, ideally related to NGO or USAID-funded programs
  • Thorough knowledge of general secretarial work and office management, procedures and documentation
  • Excellent oral and written communication skills.  Computer literacy is required.
  • Excellent writing and verbal communication skills in order to handle the occasional administrative needs of the department.
  • Ability to manage multiple tasks concurrently, and with occasional competing deadlines.
  • Must have excellent work habits, including a willingness to work the hours necessary to get the job done, especially when important deadlines cause greater than normal departmental pressures.
