Job Title: Travel Coordinator

Job Summary

Purpose of Position:
To provide cost effective support to facilitate both local and international travel for World Vision staff and visitors.

Job Grade:  HAY 13
Job Locations: Accra

KEY RESPONSIBILITIES

•   Ensure staff and visitors to World Vision Ghana have appropriate travel documents, i.e. Passports and visas.
•   Ensure guest hospitality, facilitate all logistics as needed and communicated properly
•   Assist with work and resident permit application process and follow up for Expatriate and International staff
•   Coordinate travel for all WVG staff and visitors. Arrange and plan timely  airport pick-up, reception, in-country accommodation and dispatch of official travelers and visitors to World Vision Ghana
•   Develop a database of all major partners or agencies with regards to Passports, Visas and Airlines
•   Network and liaise with diplomatic missions, immigration services, passport office and other relevant agencies to facilitate the provision of protocol services to the NO.
•   Facilitate in-country shopping and or/ tour trips by visitors as required
•   Ensure appropriate documents and reports on trips, travel arrangements and/or related activities are submitted to the Administration Manager on timely basis.

Qualification Required & Experience

•   Degree in Business Administration or related field
•   4 years relevant working experience in administrative or travel coordination role.
•   Knowledge of French is an advantage
•   Office-based with infrequent travel to the field
•   Must have a valid Ghanaian driver’s license and be able to drive.
•   Must be a committed Christian, able to stand above denominational diversities.
•   Must have excellent inter-personal and human relations skills.
•   Ability to network with other partners or agencies eg. Various Embassies, Passport, Immigration offices, Airlines staff etc.
•   Must have a pleasant and courteous disposition.

Job Title 2: Fleet Supervisor

Job Summary

Purpose of the position:

This post is to ensure that World Vision’s feet of vehicles are road worthy at all times and that all legal requirements with regards to registration, license and insurance are adhered to and maintain up-to-date data on all vehicles.

Job Grade:  HAY 13
Job Locations: Accra

KEY RESPONSIBILITIES

•   Ensure that new vehicles are processed at the DVLA to ensure they are fully registered and insured in compliance with the legal requirements of Ghana.
•   Ensure all required documentations on vehicles are current and up to date (renewals of road worthiness, insurance etc)
•   Provide supervision to the team of drivers and driver mechanics in the areas of work scheduling and performance appraisals.
•   Ensure adequate stock levels for consumable spares and lubricants.
•   Ensure maintenance schedules for both field and head office vehicles are adhered to.
•   Maintain and update maintenance files for the vehicle fleet. Ensure vehicle log books are filled
•   Liaise with P&C, Police and Insurance company on accident procedures involving organizational vehicles and staff
•   Assist in the selection, training and supervision of drivers ensuring that drivers performances are monitored measured and their capacity enhanced.
•   Generate and submit monthly report  to the Finance and Support Services Director on activities – repair and maintenance, monthly fuel utilization, transport services, accidents, number of renewals, log book filling,  per vehicle  etc

Qualification Required & Experience

•   Degree in Mechanical Engineering plus 2 years experience one of which should have been in a supervisory position with administrative responsibility OR HND in Engineering or MVT 3, plus 3 years experience.
•   Experience with diesel engines
•   Office-based with frequent travel to the field
•   Computer Literacy
•   Professional Drivers’ License – 8000 kg
•   Solid Knowledge in electronic and mechanic issues
•   Must be flexible as may be called upon at odd hours.
•   Must be a committed Christian, able to stand above denominational diversities.
