Description<\/strong><\/p>\n<p><strong>Job Title: Executive Assistant to CEO<\/strong><\/p>\n<p><strong>\u00a0<\/strong><strong>PURPOSE:<\/strong><\/p>\n<ul>\n<li>This position is responsible for providing administrative duties for the CEO.<\/li>\n<li>This role will assist with general administrative support tasks, various projects, tasks and support the planning and execution of travel, meetings, and reports.<\/li>\n<li>This position may also train and supervise lower-level clerical staff.<\/li>\n<\/ul>\n<p><strong>Key Responsibilities<\/strong><\/p>\n<ul>\n<li>Provide a comprehensive secretarial and administration service to the chief Executive across the range of his work.<\/li>\n<li>To maintain and organize the Chief Executive\u2019s diary, filing system and all other relevant areas as necessary.<\/li>\n<li>Support the Chief Executive in projects, proposals, bids, etc. through research, consultation, term-management.<\/li>\n<li>To draft speeches, articles, briefings and project proposals as requested by the Chief Executive.<\/li>\n<li>To professionally represent the organization at sector networking events<\/li>\n<li>To facilitate meetings, schedule debriefing meetings so follow up action can be implemented.<\/li>\n<li>Also by arranging refreshments, seating and taking minutes as required<\/li>\n<li>To coordinate staff\/board residential and meetings<\/li>\n<li>To respond to Board member, both orally and in writing<\/li>\n<li>To coordinate all senior management and board member travel arrangements<\/li>\n<li>To be responsible for receiving inquiries and providing an effective referral service to service users<\/li>\n<li>To ensure the effective management and update of all relevant databases<\/li>\n<li>To be\u00a0 amenable, professional and approachable at all times<\/li>\n<\/ul>\n<p><strong>\u00a0<\/strong><strong>WORKING CONDITIONS:<\/strong><\/p>\n<ul>\n<li>The position is located in the regional office \u2013 Accra.<\/li>\n<li>Extended and unpredictable hours.<\/li>\n<\/ul>\n<p><strong>\u00a0<\/strong><strong>TRAINING AND EXPERIENCE:<\/strong><\/p>\n<ul>\n<li>Educated to degree level standard or equivalent (desirable)<\/li>\n<li>Minimum 3 years\u2019 executive\/administrative assistant experience or equivalent combination of training and experience are necessary.<\/li>\n<\/ul>\n<p><strong>\u00a0<\/strong><strong>Skills and Abilities:<\/strong><\/p>\n<ul>\n<li>Excellent written and verbal communication skills.<\/li>\n<li>High proficiency in the use of Microsoft applications required, including Outlook, PowerPoint, Word and Excel is required.<\/li>\n<li>Advanced knowledge of office equipment and advanced computer skills<\/li>\n<li>Ability to work independently, exercising initiative, discretion, and judgment and make appropriate decisions within the scope of assigned responsibility.<\/li>\n<li>Ability to work under tight deadlines and manage multiple projects.<\/li>\n<li>Must be tactful and professional.<\/li>\n<li>Handles details of a highly confidential and critical nature<\/li>\n<li>The ability to pay high attention to detail to ensure that high-quality work leaves the organization<\/li>\n<li>Experience in working with senior level executives within and outside the company, as well as experience with customers, visitors, vendors and other dignitaries.<\/li>\n<li>Prioritization skills and competent follow-through skills.<\/li>\n<li>Requires in-depth knowledge of company operations, policies, and procedures.<\/li>\n<li>Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.<\/li>\n<li>Strong and excellent interpersonal skills with an approachable personality<\/li>\n<li>Flexibility, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.<\/li>\n<li>Ability to work in a flexible manner \u2013 out of hours as required<\/li>\n<li>Excellent written English and the ability to communicate at all levels<\/li>\n<li>Excellent letter
