Job Title:\u00a0Facilities Manager<\/strong><\/p>\n

Job Purpose<\/strong><\/p>\n

\u2022 To manage the operations of all Rehoboth Properties Facilities. This includes all Rehoboth Estates, Recreational Centres, Swimming Pools, Internal Roads, Street Lights, Security, Water, Common Area Maintenance Fees, Rentals, etc.
\n\u2022 Supervisory responsibilities of the Administration and Management of the Estates Team, Service Providers and Homeowners.
\n\u2022 Manage the day-to-day Estates\u2019 income ie Grounds Rent, CAM Fess, Water Bills etc
\n\u2022 Manage all aspects of the New Rental Product<\/p>\n

Key Responsibilities and Accountabilities:<\/strong><\/p>\n

TECHNICAL MANAGEMENT<\/strong><\/em><\/p>\n

Deal with Technical related issues including;<\/em><\/p>\n

\u2022 Organising all repairs of RPL facilities, homes and surroundings and prepare cost lines effectively and expeditiously
\n\u2022 Supervising all Services providers and maintenance contractors.
\n\u2022 Managing and administering contract services and development inspections
\n\u2022 Ensuring the following are checked periodically in line with maintenance schedule;<\/p>\n

i. Alarm and smoke vent systems
\nii. Drainage and sewage pumps and chambers
\niii. Water pumps & storage
\niv. Lightning conductors<\/p>\n

ADMINISTRATIVE ACTIVITIES;<\/strong><\/em><\/p>\n

\u2022 Prepare annual service\/maintenance charge budgets and Costs Control Plans.
\n\u2022 Attend and coordinate estate and site inspections, Health and Safety and Fire Safety Reports
\n\u2022 Develop and manage estate environmental management plan
\n\u2022 Develop and deliver estate maintenance programmes i.e. 6months snag etc
\n\u2022 Attend to correspondence\/complaints and telephone enquiries
\n\u2022 Attend and present information at Residents general meetings in the evening and at weekends
\n\u2022 Provide information and solution on Nuisance and Antisocial behaviour
\n\u2022 Provide informal advice on leasehold (Homeowners) and Residents\u2019 compliance, terms of sub-leases and transfers including breaches and covenant issues
\n\u2022 Designing and conducting Service satisfaction surveys
\n\u2022 Handing over of homes
\n\u2022 Liaise with security regarding breaches and rectification<\/p>\n

RENTAL PRODUCT MANAGEMENT<\/strong><\/em><\/p>\n

\u2022 House-keeping
\n\u2022 On-boarding activities
\n\u2022 Exit Activities
\n\u2022 repair works
\n\u2022 Managing utilities
\n\u2022 Management of rentals
\n\u2022 Refurbishment
\n\u2022 Retooling of equipment<\/p>\n

INCOME MANAGEMENT<\/strong><\/em><\/p>\n

\u2022 Know and understand all the various income of the Department including;<\/p>\n

i. Common Area Management (CAM),
\nii. Water rates
\niii. Ground rent charges
\niv. Charges for paid services
\nv. Rent<\/p>\n

\u2022 Follow procedure to monitor all payments by Homeowners and Residents
\n\u2022 Administer Invoices, receipts and escalate all unpaid charges
\n\u2022 Respond to Homeowners and Residents\u2019 queries in a professional manner
\n\u2022 Initiate debt collection action where necessary
\n\u2022 Set team collection targets, weekly, monthly quarterly and annually<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 BSc or BA+MSc Housing or Estate Management (MBA, may be an added advantage).
\n\u2022 Minimum of 10+ years\u2019 estate management experience within the industry.
\n\u2022 Supervisory Experience with a company in a related sector.
\n\u2022 Extensive experience of developing, maintaining and delivering services on Estate and property management strategies to meet RPL\u2019s objectives.
\n\u2022 A strong understanding of customer needs and respond to it within the RPL\u2019s objectives
\n\u2022 A willingness to work late during Residents and Other related RPL meetings
\n\u2022 A willingness to travel and work among global team of professionals.
\n\u2022 A proven ability to oversee all property, facilities and other activities.<\/p>\n
