Job Title:\u00a0Administrative Assistant \u2013 Ref:1022<\/strong><\/p>\n

Main Purpose of the Job<\/strong><\/p>\n

The incumbent will provide administrative support to various staff members including travel arrangements and meeting scheduling, and responsible for the management and professional upkeep of the reception area to ensure quality of service to all staff, callers and visitors.<\/p>\n

Key Performance Areas<\/strong><\/p>\n

Coordinating scheduling, workflow, communications and daytoday
\noperational and administrative issues and including coordination of meetings across multiple time zones, offices, and partners.
\nAssisting with travel arrangements.
\nAttending to visitors and ensuring that the visitors register is completed.
\nArranging the courier services; Circulation of mail; Distribution and management of stationery.<\/p>\n

Manage the booking of boardrooms.
\nDevelop and maintain a filing system.
\nPlan meetings and take detailed minutes.
\nAssist with obtaining quotes and compiling procurement documentation.
\nSign for and distribute delivered packages.
\nMaintain confidentiality in all aspects of client, staff and agency information.<\/p>\n

Coordinate the drivers and janitor schedules of work.
\nPerform all other duties as assigned.<\/p>\n

Required minimum education and training<\/strong><\/p>\n

University level education
\nFluency in English<\/p>\n

Minimum work experience<\/strong><\/p>\n

3 years of work experience in similar position
\nDesirable additional education, work experience and personal abilities
\nKnowledge of office management systems and procedures.
\nStrong oral and written communications skills.
\nAbility to quickly build rapport with others and work as part of a team.
\nExceptional attention to detail with problem solving skills.
\nDemonstrated excellence with MS Office and other office automation tools.
\nStrong organizational skills with ability to multitask.
\nSound, professional judgment and excellent decision making skills.
\nExperience in a U.S. government contracting services environment<\/p>\n
