Job Title:\u00a0 LCS Transport And Facilities Supervisor<\/strong><\/p>\n

Reports to : Operations and Facilities Manager
\nPosition Summary \/Job Goal<\/p>\n

The Transport and Facilities Supervisor is responsible for the coordination and operation of the school\u2019s entire transportation service ensuring an efficient, safe and reliable, personalized service is provided by the school to its customers (parents and children and staff).
\nThe Transport and Facilities Supervisor also serves as a facilities assistant, directly responsible for scheduling all internal facilities jobs as well as ensuring the maintenance and proper utilization of school vehicles and equipment.
\nSupervised, evaluated by and reports to: Operations and Facilities Manager
\nPerformance Responsibilities Student Bus Service
\nResponsible for developing the efficient and economic routing of all student bus service vehicles
\nAssist in the preparation of the annual budget to include all aspects of the bus program
\nProcesses applications for new students for the service and providing a quote to parents, detailed written information regarding all aspects of the service and date service will begin
\nEnsures that parents receive timely and relevant communication relating to the pickup and drop off their children, real time information in regard to any delays in service and timely communication regarding any program or service changes in advance of their being implemented
\nResponds to complaints and general enquiries from parents in a timely manner, ensuring that all complaints are properly investigated, appropriate
\nactions are taken and outcomes are appropriately communicated
\nEnsure that all information required by the finance office for invoices and amendments to service provision are accurate and sent to the finance office in a timely manner
\nMonitor the arrival and departure of the Student buses to ensure an efficient running of the service
\nDevelops and manages an operational timetable for drivers and monitors working on student Bus Service and all school transport<\/p>\n

Assist in the investigation of any accident involving a student Bus and all school transport
\nPerformance Responsibilities Internal School Transport & Facilities Coordination
\nResponsible for scheduling transportation for various departments as and when required
\nResponsible for initiating communication with various school departments especially faculty to establish transportation requirements per semester.
\nResponsible for the proper planning for the use of school transport vehicles to ensure maximum and efficient utilization.
\nDevelop and coordinate the scheduled and unscheduled maintenance of the School\u2019s fleet to ensure vehicle cleanliness, safety and road worthiness at
\nall times.
\nCoordinate the fueling and monitor the fuel consumption of company fleet, escalate any matters arising.
\nCoordinate and maintain good records on the vehicle insurance, license acquisition and timely renewal of all relevant insurance policies and licenses.
\nCoordinate and plan of all transport logistics for all school related events and liaise with subcontracted transport (where necessary) to ensure delivery of service as per agreed terms to ensure value for money and good service quality.
\nEnsure proper records for the school\u2019s transport management in relation to costs, repairs, drivers\u2019 shifts and leaves, insurance and licenses.
\nDaily tasks include supervising employee performance, allocating driver assignments, ensuring compliance with safety standards and maintaining all vehicles in top working order.
\nKeep track of and provide feedback on all transport and facilities (maintenance and set-up) requests and assign to various team members.
\nKeep track of and provide feedback on all transport and facilities submissions (LPOs, Payment Requests, Imprest Requests and Retirements,
\nMaterial\/Purchase Requisitions, etc.) to the Finance Department
\nIssue out and keep track of consumables as batteries, paper cups, air fresheners, mosquito sprays, boxes, keys, etc)<\/p>\n

Performance Responsibilities -Generic Duties<\/strong><\/p>\n

Responsible for ensuring that all equipment ie electronic tracking devices, radio, telephones etc are in good working order at all times
\nResponsible for organizing and assisting in delivering appropriate training and development for Bus Monitor\u2019s and Drivers
\nResponsible for assisting with the creation, development and maintenance of accurate business systems and update records in a timely manner ensuring accuracy and accessibility
\nSupervises all student transport service staff to ensure that all staff members operate within the stated guidelines for the service
\nResponsible for developing a customer service standard and maintaining a positive public image of the school and the program based on services
\nprovided
\nAssists in the development and updating of all written manuals, training manuals and program expectations\/guidelines relating to the student transport service and the communication of these guidelines to the appropriate employees
\nEnsures that proper procedures are in place for the efficient and safe running of the Student Bus Service program and that these procedures are updated as required and communicated appropriately to the right people<\/p>\n

Required Skills or Experience<\/strong><\/p>\n

Qualifications:<\/strong><\/p>\n

Degree in any field
\nLogistics Training and or Qualification (preferable)<\/p>\n

Experience, Skills and Abilities:<\/strong><\/p>\n

A minimum of 3 years\u2019 experience working in an operational role undertaking similar responsibilities
\nA minimum of two years\u2019 experience in supervising staff
\nExperience of working in a school environment or children an advantage.
\nExperience of working in a multicultural environment
\nDemonstrable experience of computer literacy using packages such as Google Docs and microsoft office suite
\nUnderstanding and knowledge of fleet management responsibilities
\nExcellent customer service skills demonstrated by experience of working with customers of varied backgrounds
\nAbility to record information accurately
\nAbility to work on own initiative
\nAbility to work in a team
\nAbility to work effectively under pressure and coordinate multiple tasks
