A good front desk executive, as a critical first level of contact for anyone conducting business with the company either in person or by phone, is an image enhancer. The role holder will be responsible for interfacing with all manner of persons who walk into the office or call by phone and must ensure that their needs and queries are effectively handled or directed to the appropriate officer.<\/p>\n

Job Title:\u00a0Secretary\/Front Desk Executive<\/strong><\/p>\n

\u2022 As stated in the vacancy title, the person to be employed would also double as a secretary.<\/p>\n

Duties and Responsibilities<\/strong><\/p>\n

The successful candidate must have the ability to:
\nComplete forms in accordance with company procedures.
\nCompose, type, and distribute meeting notes, routine correspondence, and reports.
\nGreet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs. Supply information regarding the organisation to the general public, clients and customers
\nDeal with queries from the public and members of staff.
\nMake copies of correspondence and other printed material.
\nSet up and maintain paper and electronic filing systems for records, correspondence, and other material.
\nOperate electronic mail systems and coordinate the flow of information both internally and with other organizations.
\nProvide services to customers, such as order placement and account information.
\nOperate office equipment such as printers, copiers, and phone systems, and use computers for spreadsheet, word processing, database management,
\nand other applications.
\n\u2022 Provide general administrative and clerical support.
\n\u2022 Prepare correspondence and documents, receive and sort mail and deliveries.
\n\u2022 Monitor and maintain office equipment and control inventory relevant to reception area.
\n\u2022 Tidy and maintain the reception area.<\/p>\n

Required Qualification & Skills<\/strong><\/p>\n

HND Secretaryship and Management from a reputable polytechnic in Ghana or an equivalent qualification from a recognized institution<\/p>\n

Minimum of Two (2) years\u2019 experience in a comparable organization in a related role.
\nOutstanding communication skills
\nAbility to type a minimum of 80 words per minute.
\nMust have good knowledge of administrative and clerical procedures.
\nMust be computer literate with proven proficiency in Microsoft Word, Excel and other relevant software applications.
\nMust have good knowledge of customer service principles and practices
\nMust possess excellent communication and telephone\/switchboard skills, a good voice and a likeable personality
\nHandle confidential documents and ensure they remain secure<\/p>\n
