Job Title:\u00a0Executive Assistant<\/strong><\/p>\n

Key Responsibilities<\/strong><\/p>\n

\u2022 To be the first point of contact for all communication to the country Director
\n\u2022 The Executive assistant will develop a solid understanding of the needs and preferences of the country director and wider organization so that they are able to act as gatekeeper, filtering communication and dealing with enquiries directly where appropriate in order to ensure she is able to work efficiently and maximise the use of her time
\n\u2022 To meet and greet the country Director\u2019s visitors, ensuring that they are welcomed into a friendly and professional environment
\n\u2022 To communicate and build relationships with board members, donors and other high profile individuals in a respectful and professional manner<\/p>\n

Diary Management<\/strong><\/p>\n

\u2022 To manage the Country Director\u2019s diary, including organisation of meeting venues, facilitating travel arrangements and liaising with internal and external participants
\n\u2022 To use wise judgement to manage and prioritise competing demands
\n\u2022 To ensure all information and papers relating to the country Director\u2019s meetings are provided prior to the meeting in a well ordered and properly presented manner administrative and communications support<\/p>\n

Administrative Support<\/strong><\/p>\n

\u2022 In particular, the Executive Assistant will
\n\u2022 Ensure that all enquiries and correspondence are dealt with promptly and effectively produce letters, reports and documents (including confidential items)
\n\u2022 Utilize a variety of software packages to produce correspondence \/ documents and maintain presentations, spreadsheets and databases
\n\u2022 Support the country director to collate and prepare information for key meetings to collate information and prepare the first draft of power-point presentations manage filing systems (both electronic and paper) as directed
\n\u2022 Ensuring the efficient management of information, including making sure that electronic and paper records systems are well maintained
\n\u2022 Working in close collaboration with other team members to manage general office matters
\n\u2022 To complete any other tasks as directed by the Country Director.<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 Minimum of 5 years experience of providing PA support or working as an Executive Assistant to staff at a senior level
\n\u2022 Good written, oral and aural communication skills
\n\u2022 Good MS Office skills, specifically Word, Excel and PowerPoint
\n\u2022 Able to present information clearly, concisely and in accordance with company branding
\n\u2022 Must be able to communicate at all levels and have the confidence to handle difficult phone conversations in a calm and professional manner
\n\u2022 Ability to build and maintain relationships with high profile individuals
\n\u2022 Ability to work collaboratively with all Aker team members and create a positive team culture
\n\u2022 Ability to work in a fast paced environment and remain calm under pressure
\n\u2022 Adaptable, organised and able to work with minimum supervision
\n\u2022 Able to maintain discretion and confidentiality
\n\u2022 Degree in Business Administration, Human Resource or Social Sciences from a recognised University<\/p>\n
