Job Summary:<\/strong>\u00a0To manage The Director\u2019s office and support in the day to day operations and the management of the company.<\/p>\n

Key Job Responsibilities<\/strong><\/p>\n

Management of The Director\u2019s Office<\/p>\n

\u2022 Manage the workflow and track all ongoing projects of The Director Office.
\n\u2022 Ensure business\/projects reporting schedules are strictly adhered to and all reporting requirements are met.
\n\u2022 Review and generate business reports and support the Director in developing presentations for all engagements (Board, key clients etc.).
\n\u2022 Oversee the day to day administration of The Director Office and the company as a whole.
\n\u2022 Monitor to ensure that all departmental schedules and projects are running on course.
\n\u2022 Review proposals and all in-coming correspondence to The Director Office.
\n\u2022 Manage the schedule for all key activities of the Director Office and coordinate tasks to ensure the Office runs efficiently.
\n\u2022 Keep and maintain an accurate record of paper and electronic correspondence on behalf of the Director.
\n\u2022 Prepare correspondence on behalf of the CEO, including the drafting of general responses, recommendations and proposals.
\n\u2022 Minute general meetings as required and complete research on behalf of the Director.
\n\u2022 Review all reports to ensure compliance to requirements.
\n\u2022 Support the Director in monitoring key performance indicators for each business unit.<\/p>\n

Corporate Affairs<\/strong><\/p>\n

\u2022 Work with external marketing agencies to plan and implement promotions, campaigns and advertising materials to ensure brand consistency through all channels.
\n\u2022 Support brand building initiatives.<\/p>\n

Customer Service<\/strong><\/p>\n

\u2022 Responsible for ensuring the implementation of the company\u2019s service strategy.
\n\u2022 Responsible for customer service training, service delivery, service quality, customer feedback to ensure service standards are met.<\/p>\n

Administration<\/strong><\/p>\n

\u2022 Implement and manage an effective administrative support system to ensure that the Company runs and operates smoothly. This includes oversight responsibility for the entire administrative function of all departments.
\n\u2022 Track and follow up on all Project Management Action deadlines<\/p>\n

Key Performance Indicators<\/strong><\/p>\n

\u2022 Reporting \u2013 complete, accurate and on time
\n\u2022 Record keeping
\n\u2022 Branding \u2013 consistency and standards
\n\u2022 Customer Service \u2013 no service breaches
\n\u2022 TAT
\n\u2022 Project management \u2013 action deadlines<\/p>\n

External:<\/strong>\u00a0Marketing Agencies and Clients
\nInternal:<\/strong>\u00a0The Director and all Departments<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 A first degree (2.1 and above) in Business, law, Human Resources, Administration or Management.
\n\u2022 A Masters Degree in a related field will be an advantage<\/p>\n

Knowledge<\/strong><\/p>\n

\u2022 Demonstrable experience in an administration\/business role in a fast paced environment requiring tact, judgement and discretion in handling internal and external contacts.
\n\u2022 Expert level in the use of Microsoft suite of applications.
\n\u2022 Excellent organisational skills, ability to multi-task and organise others.
\n\u2022 Excellent oral and written communication skills and ability to professionally represent the Director\u2019s office.<\/p>\n

Work Experience:<\/strong>\u00a0Five years working experience<\/p>\n

Technical Competence<\/strong><\/p>\n

\u2022 Ability to work under pressure
\n\u2022 Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances.
\n\u2022 Ability to prioritise and manage own workload amid conflicting demands and busy work periods.
\n\u2022 Ability to think ahead and anticipate needs before they arise.
\n\u2022 Ability to exercise discretion in dealing with confidential or sensitive matters.
\n\u2022 Confident and able to work on own initiative and with limited supervision.<\/p>\n
