Job Title:<\/strong>\u00a0Administrative Officer<\/strong><\/p>\n

Responsibilities<\/strong><\/p>\n

\u2022 Supporting the MOAP office in Wa with all administrative matters
\n\u2022 Meeting the administrative needs of the office independently, with a minimum of intervention
\n\u2022 Managing the support staff at the programme office
\n\u2022 Ensuring that financial and administrative regulations are complied with
\n\u2022 Organising workshops and other events
\n\u2022 Paying for workshop costs and accounting for them
\n\u2022 Efficiently dealing with queries about issues in his\/her section
\n\u2022 Performing tasks in compliance with GIZ\u2019s Orientation and Rules (O+R)
\n\u2022 Correctly providing services within the team in accordance with GIZ\u2019s requirements<\/p>\n

Tasks<\/strong><\/p>\n

Coordination<\/p>\n

\u2022 Ensures that relevant information is exchanged between project\/programme staff, partners and other institutions
\n\u2022 Accompanies the project\/programme manager or other team members to meetings if necessary
\n\u2022 Prepares and organises internal meetings
\n\u2022 Regularly draws up a list of forthcoming meetings and events
\n\u2022 Supports organising administrative and logistical aspects of events such as meetings, workshops according to rules and regulations
\n\u2022 Helps organise events and documents meetings, workshops and seminars within or outside the project
\n\u2022 Helps prepare visitor programmes, draws up travel schedules, organises transport of visitors and makes hotel and ticket reservations<\/p>\n

Administration<\/strong><\/p>\n

\u2022 Responsible for organising administrative and logistical aspects of project activities (meetings, workshops etc.)
\n\u2022 Coordinates with the GIZ office on the mode of service delivery
\n\u2022 Ensures that computers and software function properly
\n\u2022 Monitors the availability of accessories and stocks and carries out procurement in accordance with guidelines
\n\u2022 Responsible for filing documents in reference files or in DMS in line with GIZ\u2019s filing rules
\n\u2022 Manages confidential files, specifically in the areas of personnel and finance
\n\u2022 Organises and coordinates appointments for other GIZ staff
\n\u2022 Answers, reviews, forwards and\/or takes calls
\n\u2022 Manages incoming and outgoing correspondence (post, fax, email) and prioritises and organises it
\n\u2022 Replies to and looks after correspondence
\n\u2022 Updates the filing system daily with incoming and outgoing correspondence
\n\u2022 Responsible for filing documents in reference files or in DMS in line with GIZ\u2019s filing rules
\n\u2022 Creates an address file with important contact addresses and maintains this<\/p>\n

Facility Management<\/strong><\/p>\n

\u2022 Regularly liaises with office cleaners, manages schedule
\n\u2022 Reports damage\/defects in office furnishings and equipment to his\/her superior and follows up on maintenance and repair
\n\u2022 Monitors the availability of accessories and stocks and carries out procurement in accordance with guidelines<\/p>\n

Finance and accounting<\/strong><\/p>\n

\u2022 Substitutes the accountant when necessary
\n\u2022 Helps with the preparation of the programme budget planning
\n\u2022 Helps monitor expenses in accordance with the budget
\n\u2022 In the absence of the finance officer he is responsible for the cash withdrawals, keeping the cashbook, bank accounts, preparing and entering vouchers
\n\u2022 Checks travel expense statements of staff for approval by the superior
\n\u2022 Initials cash withdrawals for various projects
\n\u2022 Carries out spot checks of the cash and bank book
\n\u2022 Checks requests for funds before release
\n\u2022 Audits project accounting<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 Minimum of University degree in relevant specialisation and qualification in business administration desirable (equivalent of BA or MBA)
\n\u2022 At least 3 years\u2019 professional experience in a comparable position
\n\u2022 Good working knowledge of ICT technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
\n\u2022 Very good knowledge of the English language, ideally a knowledge of German
\n\u2022 In-depth understanding of financial planning and accounting
\n\u2022 Broad experience of management and administration
\n\u2022 Willingness to upskill as required by the tasks to be performed \u2013 corresponding measures are agreed with management<\/p>\n
