Job Description<\/strong><\/p>\n

Job Title: Executive Secretary<\/strong><\/p>\n

The purpose of this position, is to:<\/strong><\/p>\n

\u2022 To provide administrative support to the Country Director and the management of the Country Director\u2019s office, to provide support to Core Management Team, perform numerous duties, including scheduling, writing correspondence, emailing and handling visitors.<\/p>\n

Responsibilities:<\/strong><\/p>\n

\u2022 Acts as first point of contact to the Country Director.
\n\u2022 Provides administrative and clerical support to the Country Director and Core Management Team.
\n\u2022 Manages, coordinates and maintains the calendar of the Country Director including appointments and meetings.
\n\u2022 Organizes and attends meetings with the Country Director and makes sure the Country Director is well prepared for meetings.
\n\u2022 Coordinates, obtains input, draws up and distributes agenda and records minutes.
\n\u2022 Schedules meetings and arranges conference room
\n\u2022 Prepares confidential and sensitive documents
\n\u2022 Coordinates the Country Director\u2019s office activities
\n\u2022 Takes and transcribes dictation
\n\u2022 Prepares and manages the Country Director\u2019s office budget
\n\u2022 Handles all information requests to the Country Director\u2019s office
\n\u2022 Arranges travel, ticketing, reservation and visas for the Country Director
\n\u2022 Devises and maintains office system, including data management and filing.
\n\u2022 Deals with incoming mails and correspondence on behalf of the Country Director
\n\u2022 Carries out background research and presents findings as assigned
\n\u2022 Collates and files expenses for the Country Director\u2019s office
\n\u2022 Reads, analyzes and prepares reports and presentations<\/p>\n

Working Relationships:<\/strong><\/p>\n

\u2022 The executive secretary would work with Core Management Team and other department Heads<\/p>\n

Knowledge, skills and behaviours:<\/strong><\/p>\n

Knowledge<\/p>\n

\u2022 Expert knowledge in office management and secretarial duties.
\n\u2022 Significant and strong understanding of managing a top executive office.
\n\u2022 Significant experience in and a strong understanding of the executive secretary processes, approaches, tools and organizational learning, that is up to date with best practices in the role.
\n\u2022 Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrated the highest level of competency<\/p>\n

Skills<\/strong><\/p>\n

\u2022 Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
\n\u2022 Good Communication skills (both written and spoken)
\n\u2022 Strong analytical and problem-solving abilities.
\n\u2022 Good planning skills
\n\u2022 Develop and communicate clear messages from the Country Director\u2019s office
\n\u2022 Strong collaboration skills, able to build cooperation and negotiate compromises.
\n\u2022 Good inter personal skills and the ability to build relationships with staff partners, stakeholders and the public.
\n\u2022 Proven experience of using Microsoft office package.
\n\u2022 Fluent in English. Working knowledge of French will be an advantage.<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 First Degree in Business management (Secretarial option) with three years\u2019 experience or
\n\u2022 Advance Diploma in Professional Secretaryship from a recognized institution with five years\u2019 experience.<\/p>\n
