Job Description<\/strong><\/p>\n

Job Title:\u00a0Logistics Coordinator<\/strong><\/p>\n

JOB SUMMARY<\/strong><\/p>\n

The Logistics Coordinator reports directly to the Finance Manager (FM) and is responsible for procurement and transportation activities in the respective country. The incumbent also manage store and fixed assets, support administration and oversee execution of rehabilitation projects. The incumbent works closely with the Program Manager, Finance Manager and Project Officers as required.<\/p>\n

PRIMARY RESPONSIBILITIES<\/strong><\/p>\n

Job Responsibility #1: Logistics and fleet management (30% of Time):<\/p>\n

\u2022 Ensures all maintenance and control of RTP\/donor logistics and procedures are fulfilled.
\n\u2022 Ensures that timely periodic vehicles\/generators maintenance is conducted according to specific kilometre coverage and running time.
\n\u2022 Monitors the issuing and use of fuel by maintaining an accurate, clear and transparent record of fuel consumption.
\n\u2022 Advises on road conditions for country side travel to ensure the safety of passengers.
\n\u2022 Coordinates transportation of staff and goods in the field.
\n\u2022 In coordination with Finance Manager, ensures timely payment of all RTP utility bills, subscriptions and other bills.
\n\u2022 Liaises with relevant government ministries, customs authorities and other departments for the clearing of imported\/exported goods.
\n\u2022 Facilitates arrangements for visitors, meetings, conferences and special events.<\/p>\n

Job Responsibility #2: Procurement (25% of Time):<\/strong><\/p>\n

\u2022 Coordinates and facilitates the procurement requirements of the program office on the basis of the procurement policy guidelines.
\n\u2022 Reviews pre-qualification suppliers list against procurement policy.
\n\u2022 Ensures compliance with procurement procedures as per field-authorization level manual.
\n\u2022 Responsible for procurement committees\u2019 constitution and for arranging meetings to make purchase decisions.
\n\u2022 Creates purchase orders, ensuring relevant procurement procedures have been applied and all supporting documentation is attached.
\n\u2022 Ensures invoices received reconcile to purchase orders and matched receipts of purchase orders.
\n\u2022 Handles contract management in regards to renewal, payment etc.
\n\u2022 Ensures deliveries are processed in an adequate and timely manner.<\/p>\n

Job Responsibility #3 Store and fixed assets management (15% of Time):<\/strong><\/p>\n

\u2022 Oversees the management of the store and keeps the store in good condition.
\n\u2022 Checks balances of goods and equipment and reports to Finance Manager
\n\u2022 Keeps and registers returned used projects materials.
\n\u2022 Produces monthly stock reports for Finance Manager and CD consideration.
\n\u2022 Develops appropriate systems and procedures for the management of the programme\u2019s assets, adapted to the specific needs of each site.<\/p>\n

Job Responsibility #4: Rehabilitation project management (15% of Time):<\/strong><\/p>\n

\u2022 Manages all technical and scheduling project aspects and coordinates with other team members toward an effective and efficient execution of the project.
\n\u2022 Coordinates with construction managers to ensure proper and on time implementation of the project.
\n\u2022 Follows up on the implementation of the rehabilitation work and provides Program Manager\/Country Manager with continuous updates.
\n\u2022 Follows up with contractors on quality of delivery, payment and project end<\/p>\n

Job Responsibility #5: Team management (10% of Time):<\/strong><\/p>\n

\u2022 Supervises and monitors all drivers in their daily duties such as daily vehicle inspections, preventative maintenance reporting, logbooks, cleaning of vehicles and adherence to safety.
\n\u2022 Ensures that the direct reporting team are familiar with their roles and responsibilities within their individual job profiles and provides all coaching and support to build their capacity.
\n\u2022 Carries out the performance appraisal of the direct reporting team<\/p>\n

Job Responsibility #6:<\/strong>\u00a0Perform Other Duties as Assigned (5% of Time)<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

EDUCATION\/TRAINING\/CERTIFICATION<\/p>\n

\u2022 Bachelor\u2019s degree in Management, Administration or related discipline<\/p>\n

EXPERIENCE<\/strong><\/p>\n

\u2022 3 years\u2019 experience in logistics and\/or procurement in national or international level.<\/p>\n

COMPETENCIES \/ PERSONAL ATTRIBUTES<\/strong><\/p>\n

\u2022 Excellent interpersonal and communication skills both written and verbal
\n\u2022 Excellent research and negotiation skills
\n\u2022 A solid team player with respect for others
\n\u2022 Effective organization skills
\n\u2022 Ability to manage a team and provide feedback<\/p>\n

TECHNICAL SKILLS<\/strong><\/p>\n

\u2022 Computer literacy in Word, Excel and PowerPoint
\n\u2022 Ability to use automated procurement systems
\n\u2022 Understanding of fleet management
\n\u2022 Skilled in record keeping and documentation<\/p>\n

DESIRED QUALIFICATIONS (An Asset)<\/strong><\/p>\n

\u2022 Degree in project management
\n\u2022 Experience in working with NGO or I\/NGOs
\n\u2022 Holding a driving license<\/p>\n

LANGUAGES<\/strong><\/p>\n

\u2022 Fluency in spoken and written English and local language(s).<\/p>\n
