Fairtrade Africa (FTA) is the umbrella network organization representing Fairtrade certified producers and workers in Africa. It has four (4) regional networks \u2013 Eastern Africa; Southern Africa; West Africa; and Middle East and North Africa. Established in 2005, FTA aims to effectively represent producers and workers within the International Fairtrade System and provide services to them that contribute to the improvement of their livelihoods. The FTA Board directs policy and strategic development of the organization.<\/p>\n

FTA Secretariat is located in Nairobi where the operations are in the hands of the FTA Senior Leadership Team (FTA-SLT). In enabling the members to have a strong voice in the governance, strategy and the overall direction of the Fairtrade movement in Africa, the FTA-SLT has the responsibility for directing and managing all FTA resources including employees. The FTA-SLT has the overall responsibility of strategy development and operational implementation. The Finance and Administration Director (FAD) is expected to be an active member of this team.<\/p>\n

JOB PURPOSE<\/strong><\/p>\n

\u2022 To act as a point of contact for all members and prospective members, providing timely assistance and co-ordinate all administration relating to the admissions process.<\/p>\n

DUTIES & RESPONSIBILITIES<\/strong>
\nMembership Support<\/p>\n

\u2022 Oversee membership applications and undertake all aspects of data entry relating to members in accordance with the agreed data for collection requirements.
\n\u2022 Conduct key membership tasks including creating invoices and receipts, processing membership invoices and payments, and keeping membership fee payment tracking files up to date.
\n\u2022 Ensure that all responses to membership enquiries are immediate and to a good standard.
\n\u2022 Support the joint planning activity and review with producer organizations and ensure timely gathering and distribution of information to producer organizations.
\n\u2022 Deliver a seamless experience to the members as well as providing support and assistance to team members where needed.
\n\u2022 Process membership payments and liaise with the Finance and Administration Officer to ensure that financial records reconcile to those on the accounting system.
\n\u2022 Monitor the provision of membership service to producer organizations
\n\u2022 Provide logistical and administrative support events and workshops
\n\u2022 Response to member queries, requests and communications<\/p>\n

Reporting and Communication<\/strong><\/p>\n

\u2022 Maintain up to date membership database and producer records.
\n\u2022 Liaise with the Communications Officer to ensure the clear communication of membership benefits and deliver key information to members.
\n\u2022 Prepare membership activity reports
\n\u2022 Conduct outbound calls and correspondence to support member engagement and retention.<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

\u2022 Associate Degree in Business Administration or related field<\/p>\n

Experience and Knowledge<\/strong><\/p>\n

\u2022 2 years\u2019 experience in a customer service role to either a membership or the general public
\n\u2022 Experience of managing and maintaining data records<\/p>\n

Skills<\/strong><\/p>\n

\u2022 Well-developed communication and interpersonal skills
\n\u2022 Ability to work to deadlines and cope with pressure, multi-task, demonstrate flexibility
\n\u2022 Proficient in the use of MS Office applications
\n\u2022 Good data entry skills
\n\u2022 Reliable, well organized and flexible
\n\u2022 Excellent attention to detail<\/p>\n
