Job Title: Client Liaison Officer \/ Administrative Support Assistant<\/strong><\/p>\n

Job Summary\/Purpose:<\/strong><\/p>\n

\u2022 The primary function of this role is to assist with administrative and clerical duties as assigned.<\/p>\n

Key Job Responsibilities<\/strong>
\nFront office<\/p>\n

Check In:<\/strong><\/p>\n

\u2022 Greet clients as they arrive to the office in a courteous and warm manner
\n\u2022 Ensure that dentists know when their clients have arrived \u2013 this includes actively searching of the dentist if their chair is free and the patient has been in for greater than 5 minutes.
\n\u2022 Have clients complete the New Patient information and medical history forms
\n\u2022 Capture all relevant information including accurate email address, preferred contact phone number, family, payor, patient group and marketing data and update as necessary
\n\u2022 Create New client files and modify \/ updated information on the software (EXACT)
\n\u2022 Generate a unique identifier number for the client and create an x \u2013 ray folder for the client
\n\u2022 Have clients read \/ watch videos and sign consent forms for treatment as prescribed. Photocopy \/scan and return original consent forms
\n\u2022 Call clients who are running late to remind\/confirm or change their appointments
\n\u2022 Keep in touch with patients who are waiting to be seated and ensure they are occupied
\n\u2022 Give office tours and answer questions for potential clients or new clients
\n\u2022 Check files for missing or incorrect information obtained from patients<\/p>\n

Check Out:<\/strong><\/p>\n

\u2022 Collect client payments or balances.
\n\u2022 Make follow-up appointments as needed
\n\u2022 Enter payments into Software system (EXACT)
\n\u2022 Generate and hand out walk out statements
\n\u2022 Give out referral slips
\n\u2022 Dispense home care products \/ sundries and instructions for use
\n\u2022 Close credit \/ debit card account
\n\u2022 Print Deposit Slip at the end of each day, balance with payments made over the counter, including cash, checks and cards.
\n\u2022 Email invoices and receipts to patients.
\n\u2022 Follow up on outstanding amounts.
\n\u2022 Ensure insurance claims are completed by dentists and email to clients.
\n\u2022 Ensure corporate billing forms are adequately completed.
\n\u2022 Prepare cheque deposit slips for the driver to deposit at the bank.
\n\u2022 Receive supplier invoices and hand them over to Admin for processing.
\n\u2022 Liaise with the Laboratory for pickups and drop offs.
\n\u2022 Prepare items and follow DHL process to be sent out
\n\u2022 Thank patients for their visit and add appropriate appreciation (e.g. Have a lovely day, Merry Christmas, Happy New Year etc.)
\n\u2022 Give new clients who have just moved to Ghana the Welcome Pack.
\n\u2022 Give welcome cards to new patients<\/p>\n

Other Responsibilities:<\/strong><\/p>\n

\u2022 Receive calls in a warm and courteous manner and convert them into appointments.
\n\u2022 Book appointments for clients at their convenience and manage diary.
\n\u2022 Ensure the reception area is clean and tidy with appropriate music and visuals.
\n\u2022 Attend to and respond rapidly to email enquiries within 24 hours
\n\u2022 Send daily courtesy reminders the working day before appointments and check to see that the messages have been sent
\n\u2022 Call all new patients 24 hours before their appointments
\n\u2022 Ensure client recall messages are sent and change the photo and caption every three months
\n\u2022 Document complaints (written and verbal) and utilize the practice\u2019s complaints policy to safeguard the Practice\u2019s reputation.
\n\u2022 Print daily lists for morning meetings.
\n\u2022 Tidy reception area \u2013 books, cushions etc. in place.
\n\u2022 Restock cards, brochures, supplies and necessities at each station. Request additional supplies as needed.
\n\u2022 Check and rotate TV screen content. Be active in giving feedback on content so that it can be changed
\n\u2022 Keep reception area calm and orderly (e.g. propose play area to children).
\n\u2022 Keep a professional image at the practice (e.g. no chewing gum, pay attention to clothing, appearance, language used etc.)
\n\u2022 Keep adequate supply of forms used in the office and notify ADMINSITRATOR when these are running low to allow bulk printing of additional forms.
\n\u2022 Ensure there is always one spare toner for the front desk printer available.
\n\u2022 Liaise with dentists first and then activate \u2018EXACT\u2019 and \u2018EXCUSE DUTY\u2019 note<\/p>\n

General Administration<\/strong><\/p>\n

\u2022 Assist the Practice Manager follow up and record all maintenance issues in the Practice in the maintenance book and ensure that repairs are done by the appropriate vendors and report every Friday to the Practice Manager.
\n\u2022 Assist the Practice Manager to liaise with contractors and supplier, review their invoices and ensure timely payments
\n\u2022 Assist with the supervision of the level of fuel and water in the generator and water tank, respectively.
\n\u2022 Assists check all Practice facilities \u2013 electrical fittings, air conditioners, floors, plumbering and security.
\n\u2022 Assist with stock control and ordering of supplies (local and foreign) in consultation with the senior nurse and Practice Manager every Friday.<\/p>\n

\u2022 Assist track and clear orders from Customs and other vendors.
\n\u2022 Assist with purchasing of office supplies, drinking water for patients and staff.
\n\u2022 Assist organize and prepare morning meetings and presentation.<\/p>\n

Marketing<\/strong><\/p>\n

\u2022 Be aware of on-going practice marketing and targets and work towards assigned goals
\n\u2022 Take part in marketing events as required<\/p>\n

Performance Indicators:<\/strong><\/p>\n

\u2022 Number of Ortho letters, mortgages, invoices, and patient follow up calls
\n\u2022 Stock update for the week
\n\u2022 Punctuality.
\n\u2022 Attitude.
\n\u2022 Appearance.
\n\u2022 Proficient use of EXACT.
\n\u2022 Number of clients requesting additional information
\n\u2022 Number of complaints about scheduling
\n\u2022 Recall Manager<\/p>\n

Qualification Required & Experience<\/strong><\/p>\n

Job Requirements\/Person Specifications:<\/p>\n

\u2022 First Degree holder
\n\u2022 Experience in customer relations<\/p>\n

Technical Competence:<\/strong><\/p>\n

\u2022 Excellent written and spoken English and oral communication skills
\n\u2022 Experienced in word processing software, spreadsheets (Word and Excel) and other office applications.
\n\u2022 Very well-presented
\n\u2022 Understanding of excellent customer Service
\n\u2022 Attention to detail<\/p>\n
