Job Title: Personal Assistant<\/strong><\/p>\n

Job Summary:<\/strong><\/p>\n

\u2022 Provide administrative, secretarial and personal assistance to the Chief Corporate Services Officer and to provide clerical and routine support to Corporate Services<\/p>\n

Job Role<\/strong><\/p>\n

\u2022 Responsible for scheduling meetings\/appointments (Direct report, Corporate Services divisional monthly meeting, and other meetings)
\n\u2022 Book meetings in the CCSO\u2019s calendar and schedule appointments.
\n\u2022 Book meetings, and send meeting requests and reminders to stakeholders.
\n\u2022 Coordinate, obtain input, draw up and distribute agendas, and record minutes.
\n\u2022 Answer calls and handle queries professionally. Provide efficient and effective administrative support to the CCSO and the departmental heads in the division
\n\u2022 Provide travel support to the CCSO: Arrange travel and accommodation when necessary. Liaise with the travel controller and make travel and hotel reservations for CS members
\n\u2022 Management of CCSO\u2019s and First Reports Leave Schedule
\n\u2022 Coordinate divisional incentives, and send emails to divisional champions on monthly winners for reporting purposes.
\n\u2022 Make arrangements for CS divisional sessions in consultation with the relevant stakeholders.
\n\u2022 File documents accurately for easy retrieval.
\n\u2022 Prepare monthly reports.
\n\u2022 Track IOU and Petty cash issued on a monthly basis and track expenses
\n\u2022 Co-ordinate ad-hoc office projects as necessary and maintain records for staff
\n\u2022 Receive visitors and attend to them in a polite and professional manner and follow up on their logistics requirements.
\n\u2022 Professionally provide feedback to internal and external customers.
\n\u2022 Follow up with HR on CCSO\u2019s recruitments and provide office orientation for new employees
\n\u2022 Management of office stationery.
\n\u2022 Support with the execution of Corporate Services projects.<\/p>\n

\u2022 Minimum of a Degree in a related field<\/p>\n

\u2022 3 years of relevant experience in a similar role<\/p>\n

Professional\/Technical competencies:<\/strong><\/p>\n

\u2022 Excellent typing skills and computer literate
\n\u2022 Good communication skills \u2013 both verbal and written
\n\u2022 Good reporting and Business writing skills
\n\u2022 Knowledge of standard office practices and procedures
\n\u2022 Good telephone manners
\n\u2022 Skills in the operation of a variety of office machines<\/p>\n
